About the Role

The Private Events & Catering Manager will be responsible for driving private event and catering revenue while overseeing the entire client experience from inquiry through execution. This individual will serve as the primary point of contact for clients, manage event logistics, maintain CRM systems, and collaborate closely with culinary and operations teams to ensure seamless event execution.

This is a highly visible role that requires strong networking abilities, attention to detail, and a passion for hospitality.

Key Responsibilities

Private Event Sales & Business Development

  • Generate new private event and catering business through networking, referrals, and community outreach.
  • Conduct venue tours and client consultations.
  • Develop relationships with local businesses, nonprofit organizations, schools, religious organizations, hotels, country clubs, and community leaders.
  • Represent the company at networking events and community functions.
  • Build and maintain relationships with VIP and high-net-worth clientele.
  • Identify opportunities to increase revenue and drive repeat business.

Event Planning & Client Management

  • Serve as the primary point of contact throughout the planning process.
  • Guide clients through menu selections, beverage packages, floor plans, timelines, and event logistics.
  • Coordinate vendors, rentals, entertainment, and special requests.
  • Manage all event details from inquiry through execution.
  • Ensure timely and professional communication with clients and internal stakeholders.

Event Execution

  • Prepare and distribute Banquet Event Orders (BEOs) and event documentation.
  • Coordinate directly with culinary, service, and management teams.
  • Maintain event calendars and scheduling systems.
  • Attend site visits, major events, VIP functions, and key client meetings.
  • Ensure successful execution through onsite event oversight and quality control.

CRM & Administrative Management

  • Manage all event opportunities through CRM software.
  • Prepare proposals, contracts, invoices, and payment schedules.
  • Collect deposits and final payments.
  • Track event revenue, conversion rates, sales pipeline activity, and client information.
  • Maintain accurate records and reporting systems.
  • Create and improve workflows, templates, and operational processes.

Catering Program Development

  • Help develop and expand the catering business.
  • Collaborate with culinary and operations teams to improve profitability and efficiency.
  • Create new offerings and upselling opportunities.
  • Establish systems and standards that support long-term growth.

Qualifications

  • 3–5+ years of experience in hospitality sales, catering sales, event management, private dining, or related hospitality leadership roles.
  • Proven track record of driving revenue and developing client relationships.
  • Strong sales, networking, and business development skills.
  • Experience planning and executing private events and catering programs.
  • Comfortable working with VIP and high-net-worth clientele.
  • Exceptional organizational and communication skills.
  • Experience with CRM systems and hospitality technology platforms.
  • Experience with Perfect Venue, Toast, or similar systems preferred.
  • Self-motivated, proactive, and highly detail-oriented.
  • Ability to manage multiple projects simultaneously in a fast-paced environment.

Compensation & Benefits

  • Base Salary: $50,000–$60,000, total compensation in the $100K + range
  • Commission: 3% commission on net private event and catering sales
